Case Understanding

As Sabadra Ankit Ashutosh - Head of Information Technology & Business Analysis Management Department did not participate and contributed to this team’s submission, I as the leader of Team Claudius have taken up the IT Department and presented the solution.

Case Understanding:

Mohit Singh and Parth Mittal, the directors of PM Clean Air Solutions Private Limited (PMCASPL), have been friends since their B.Tech days in Bengaluru. Manoj started his career as an Air Quality Analyst, with an MNC in Gurgaon and Parth joined Patliputra Port Trust, a shipping company in Kolkata. While working for the Air Quality company, Manoj developed a concept to build a hybrid product, a combination of natural plants and machines, to improve the air quality. Manoj and Parth then decided to resign from their respective jobs and start their own company PMCASPL in Bengaluru to work further on this concept. They both invested in the company as directors with 50% equity stake each. Both the directors spent 9 months in the research and development of the product. 

The final product developed, consisted of 3 separate units of which two are physical units and one software, all synced as one single device. The units are-

1.Air Sense- 

Type: Physical Unit

Function: To sense the air quality of approximately 1900 sq. ft. area and pass the data to AQMS. 

Size: 5 in * 5 in

2.Air Quality management System (AQMS)- 

Type: Software Unit

Function: Analyse data received from Air Sense and send suggestions to users on how to effectively use Air Loop. 

Size: Centralised server

3.Air Loop- 

Type: Physical Unit

Function: To purify air up to 1500 sq. ft. closed wall area. 

Size: 48 in * 24 in

PMCASPL further hired software developers, web designer, mobile app developer, field executives and rented a place for office. PMCASPL approached angel investors and got SAIF capital to invest INR 10 Cr in the company for 5% equity stake. They also visited television programme for investment and got the judges to invest INR 10 Cr. INR 5 Cr for 5% equity and INR 5 Cr as term loan for 3 years carrying ROI @12% p.a.

PMCASPL has tasked our consultancy firm to advise marketing plans, pricing strategy, IT development and business analysis, HR management along with new production site set up and its operations. We have given a limited budget of INR 10 Crore for FY 2022-23 to work with, so we would be going ahead with the following suggestions.

BCS Solution Summary

AQMS, IT policies for employees, websites, apps (Android and iOS), social media accounts, cyber security, servers, networks, hardware and software support, as well as data backups, are all within the purview of the IT department. To that end, the IT department will offer technical assistance and creative solutions that add value to the company and boost operational efficiency.

Solution

PMCASPL's online presence, as well as the design, implementation, maintenance, and support of its IT infrastructure, will be managed by the company's IT and business analytics division. The IT departments will be directly under the directors and will look after following aspects-

AQMS

Since AQMS is an integral part of the company's main offering, the IT department will treat it as a top priority and performs routine updates, enhancements and maintenance on it.

Website 

The website is being made by the IT department and will feature the company's physical address, product offerings, online shopping, and contact details. In order to make the website accessible from any device, including mobile phones, it will be dynamic. Focus of creating the website would simple and easy to understand UI that will enhance the UX. We plan to develop internet leads and then turn those leads into possible customers. Customers will feel more at ease after visiting a website, and their confidence can be bolstered by reading reviews written by other satisfied clients. In addition, we will supply instructional videos on how to make use of the product.

Android & iOS application

A dedicated app that facilitates repeat purchases from our store and the accrual of loyalty points. A version of the software for both Android and iOS devices will be developed. The app will be maintained by a committed team, and it will include an intuitive interface and clean design for a premium user experience. In order to facilitate purchases and payments, the app will be compatible with a number of popular payment gateways.

IT-Employee Policy

To protect user privacy and data in the firm and to ensure that data of any kind generated inside the company facility does not exit the facility, the IT department will play a crucial role in putting up an IT user policy for the employees. In addition to the foregoing, these policies will stipulate that all removable media (such as flash drives and external hard drives) be disabled, that passwords are to be kept secret, and that desktop and laptop computers be subject to constant surveillance to prevent unauthorised access.

Social Media handles (Technical Aspect)

The IT team will manage any and all technical concerns regarding the safety and confidentiality of the social media accounts. It will also be responsible for managing the data collected from social media handles working alongside the marketing team to create a wider reach and acquire new audience.

Hardware support

The IT department will handle the procurement and installation of all new hardware, as well as any upgrades or changes to existing pieces of equipment. The IT team will also handle any necessary hardware repairs.

Software support

The IT department will handle software licencing and upgrades as well as monitoring. IT personnel will supervise the setup and fix any issues that arise.

ERP- Enterprise Resource Planning

We need to subscribe to an ERP module, most likely SAP, in order to synchronise the strategy, which includes things like order reception, stock check, inventory management, financials, sales, HR, etc. The IT team will assist in the standardisation of all other operations.

Cyber security

Nowadays, cyber security has become a major concern for companies. The size of a corporation no longer determines whether or not it will be the target of a cyberattack. We'll be setting up protection against ransomware and other viruses. To ensure that all protocols are followed and security measures are put into place, IT team will be trained on how to do so.

Networking setup 

The IT staff's primary responsibility will be to set up a server-based local area network and work toward connecting all of the office's computers, both desktop and mobile to ease as well as protect the information shared over these devices. They will also manage remote desktop connections. To protect the sensitive data, they will deal with network issues, perform routine maintenance, and shut down the system during a cyberattack.

Backup System & Disaster Recovery System

Both natural and man-made disasters pose a significant risk of total system failure, which can lead to catastrophic losses for any business. We can implement disaster management and a complete recovery system to protect the data and the system. Moreover, we can safeguard our information from ransomware by creating a mirror of it on our backup systems.

Conclusion

With the strategy we have curated for PMCASPL, the company should be able to gain 10% of market share in one year will soon reach the break even point and start making profits. Further the strategy needs to be continuously updated according to the changes in the industry and environment so that the company does not fail.
