Case Understanding

Mohit Singh and Parth Mittal, the directors of PM Clean Air Solutions Private Limited (PMCASPL), have been friends since their B.Tech days in Bengaluru. Manoj started his career as an Air Quality Analyst, with an MNC in Gurgaon and Parth joined Patliputra Port Trust, a shipping company in Kolkata. While working for the Air Quality company, Manoj developed a concept to build a hybrid product, a combination of natural plants and machines, to improve the air quality. Manoj and Parth then decided to resign from their respective jobs and start their own company PMCASPL in Bengaluru to work further on this concept. They both invested in the company as directors with 50% equity stake each. Both the directors spent 9 months in the research and development of the product. The final product developed, consisted of 3 separate units of which two are physical units and one software, all synced as one single device. The units are- 1. Air Sense- Type: Physical Unit Function: To sense the air quality of approximately 1900 sq. ft. area and pass the data to AQMS. Size: 5 in * 5 in 2. Air Quality management System (AQMS)- Type: Software Unit Function: Analyse data received from Air Sense and send suggestions to users on how to effectively use Air Loop. Size: Centralised server 3. Air Loop- Type: Physical Unit Function: To purify air up to 1500 sq. ft. closed wall area. Size: 48 in * 24 in PMCASPL further hired software developers, web designer, mobile app developer, field executives and rented a place for office. PMCASPL approached angel investors and got SAIF capital to invest INR 10 Cr in the company for 5% equity stake. They also visited television programme for investment and got the judges to invest INR 10 Cr. INR 5 Cr for 5% equity and INR 5 Cr as term loan for 3 years carrying ROI @12% p.a. PMCASPL has tasked our consultancy firm to advise marketing plans, pricing strategy, IT development and business analysis, HR management along with new production site set up and its operations. We have given a limited budget of INR 10 Crore for FY 2022-23 to work with, so we would be going ahead with the following suggestions

BCS Solution Summary

We are starting a new venture and our product is PureAir Ultra 200 i.e. an Air Purifier. As an head of HR Department, firstly I need to design the organizational Structure which will start with CEO/MD then there will be 5 departments i.e. Finance, IT&BA, Operations, Marketing and HR. As we are launching 3 products, which product will be undertaken by which department will also be specified. We also need 2 sales Managers who can handle the sales effectively for that we need to design the Job description. We will be needing 50 workers for manufacturing unit so salary structure is also designed. Further we need to look on onboarding, Compensation and benefits, Frame policies, Compliance for Health and safety of the Labors working in manufacturing unit, Regularly training and development sessions for employees so that they can upgrade themselves. And the HRIS we will be going to use is BambooHR so that it will make the work easy and accurate.

Recruitment and Onboarding: As we need two more employees that is sales managers for that firstly we need to  know the job description and then we will do the competency mapping of the candidates for that profile.

Job Description:

  • About the Job:
    • We are looking for a high performing sales manager to help us meet our customer acquisition and generate revenue by completing their targets and keeping company competitive and innovative. You will also be responsible for our sales maximization, crafting plans for sales and justifying those to higher management.
  • Responsibilities:
    1. Hit sales target and achieving growth by achieving the target.
    2. Design and increment strategic business plan that expands company's customer base and insure its strong presence.
    3. Identifying emerging markets and market shifts while being fully aware of new products and competition status.
  • Requirements and Skills:
    1. Graduate in any of the course.
    2. Good communication skills.
    3. Ability to influence others.

Onboarding: After the Recruitment has been done,

  • He can visit the company to see the work culture and do the documentation work
  • Then we will be sending him the offer letter
  • Candidates will be having the time of 1 week to sign the offer letter.
  • Then we will be welcoming the new employees through orientation programme
  • There will be one week training for the employees.

Compensation and benefits :This will include monetary and non- monetary benefits that will be given to the employees.

  • The only skills which are required for workers are that they should fully acquaint with the machinery, they should know to work on machineries.

 

  • There will be flexible working hours i.e., 10 a.m.-6 p.m. Which will include a break of one hour.
  • Employees will be getting a time of 10 days(Negotiable) to complete their projects assigned to them.
  • Employees can take 3 leaves by their own in a month.
  • Their will be extra time and payment for voluntary work.
  • Monthly titles of best sales person, Most hardworking, target achievers, and no Absenteeism will be awarded.
  • One on one meetings will be they’re on monthly basis to know the feedback.
  • Also, we will be organizing webinars/ seminars, workshops for training and development of the employees.
  • The best performer of the month will get shout out on the social media.

Employee Relations: At the time of any grievance employee can directly consult to HR. The policies will be :

  • Work Timings- The office timing will start from 10 a.m. any employee who will be coming after 10:10 a.m. will be considered to work as half day.
  • Leave Application- Prior Intimation is needed before taking leave, any leave more than 3 days will require the permission of HR.
  • Joining and exit policies- At the time of joining employees will be provided the offer letter and other documents followed by ID card of the organization. And at the time of exit employee will need to intimate at least 2 months before.
  • Use of company resources- No employee will be allowed to take the company’s property outside the company and in case or lose of any property, employee will be charge for that.

Compliance, Health, and Safety: There will be compliances for the Employees Health and safety.

Training, Development and performance Management: Every month there will be some Webinars/Seminars, Workshops and online Certifications which will help to Improve the Skills and knowledge of Employees.

There will also review of performance of employees regularly wherein,

  • Manager will evaluate the work done by employee
  • Identify the Strength and Weaknesses
  • Offers Feedback
  • Sets goals for Future Performance.

Use of Human Resource Informative System(HRIS): We will be having HRIS i.e. Bamboo HR for:

  • Recruiting
  • Track their time
  • Payments
  • Record keeping, attendance
  • Administrative tasks
  • Compliance Tracking
Conclusion
By regulating the above HR practices we can effectively and effeciently acheive the goals of the organisation . Also the retention of employees for long term will be focused by HR Department.
